I Built an AI Chief of Staff
Cool Shit I Built With AI, Part 5. This used to be a hire. Now it's a set of instructions that briefs my team twice a day.
I was the CEO and the assistant. And the assistant kept forgetting to do his job.
That is the honest description of how I was running my office. Big decisions got my attention. The follow-through, the reminders, the “hey, who is covering this while I’m out,” all of that depended on me remembering it at the right moment. I dropped things. Not because I did not care. Because I was two jobs in one chair.

What I built instead of getting more organized
I built a chief of staff agent. Every day it does what a good chief of staff would do:
- Scans my emails. What came in, what needs action, what changed.
- Scans my calendar. What is today, what is coming, where the gaps are.
- Scans our team chats. What people are working on, what is stuck.
Then it compiles a morning huddle and an afternoon huddle for the whole team. Not a data dump. A brief: here are today’s priorities, here is what shifted, here is what got resolved, here is what is still open.
If I am out for the day, it knows, and it tells the team what matters without me. If we have a gap in the schedule, it catches it before the gap becomes a fire.

The sentence that stopped me
This used to be a hire. Now it is just a set of instructions.
I want to be careful with that sentence, because I am not celebrating replacing a person. In a small office like mine, that hire was never going to happen. The choice was not agent versus employee. It was agent versus nobody, with me dropping balls in the gap. Now the balls get caught, and my team gets a clearer day than I could give them by memory.
The honest part
The cool thing is, I didn’t get more disciplined. I just built an agent that catches what I dropped.
That is the pattern behind this whole series. Every episode is me refusing to fix myself with willpower and fixing the system instead. The grocery cart, the second brain, the news scraper, the inbox. Same move every time: write down what a reliable person would do, and let the AI be reliable.
Steal it: the starter version
You do not need my whole setup on day one. Start with one huddle.
-
Connect the AI to your email and calendar. The Claude app does both. Your team chat too if you have one.
-
Describe the job like a job posting. Mine boils down to: every morning, review my email, calendar, and team chats, then write the team a short brief with priorities, changes, resolved items, and open items.
-
Tell it your world. Who is on the team, which projects matter most, what counts as urgent. This is the five minutes that makes it good.
-
Schedule it and let it run. Morning first. Add the afternoon huddle when the morning one earns your trust.
Your turn
That is available to anyone now. Steal this idea and make it your own.
Tell me what you are building with AI in the comments. I read all of them and I will point you in the right direction.
